Your Shopify store and your accounting, finally on one page

E-Khata Cloud connects to Shopify in a couple of minutes. After that, products you create are on your store, stock you sell anywhere updates everywhere, and every online order lands in your accounts as a posted invoice. No exports, no retyping, no end-of-month surprises.

The Shopify accounting integration links your online store to E-Khata Cloud so both sides always agree. Create a product once and sell it in the shop and on the web. Sell a unit anywhere and the stock count updates on both sides. Every Shopify order becomes a real sales invoice in your books, with the customer, the discount, the delivery charge, and the payment recorded exactly as they happened.

What syncs between Shopify and E-Khata

Most connectors are vague about which way data flows. Here is the exact map, both directions.

E-Khata to your Shopify store

  • Products: name, description, category, and brand
  • Variants with SKUs, barcodes, and weights
  • Product and variant images, matched to the right variant
  • Web prices, with the old price shown struck through for discounts
  • Live stock quantities from the warehouse you choose
  • Multi-warehouse stock mapped to your Shopify locations
  • Product status: deactivate in E-Khata and it is archived on the store, never destroyed

Your Shopify store to E-Khata

  • Orders, posted as real sales invoices with document numbers
  • Line prices, discounts, taxes, and delivery charges, to the rupee
  • Customers, matched by email or phone so nobody is duplicated
  • Payments: paid orders arrive marked paid, COD stays as a receivable until the cash does arrive
  • Products created or changed on the store, so your catalog stays complete
  • Stock deductions for every online sale, reflected in your registers and reports

How the Shopify integration works

There is no developer, no CSV file, and no third-party connector fee involved. You connect once and the sync runs in the background from then on.

  1. Connect your store
Open Settings, choose Integrations, type your store address, and approve E-Khata on Shopify. The secure connection is made through Shopify's own login, so you never share a password.
  2. Choose how you want to sync
Pick which warehouse backs your online store, and switch product and inventory auto-sync on or off. You can change any of this later without reconnecting.
  3. Sync your catalog
Push your whole product list to the store in one click, or start fresh from either side. Variants, barcodes, images, and web prices go along with each product.
  4. Sell, and let the books write themselves
From here on, orders arrive as posted invoices, stock stays current on both sides, and a sync activity log shows you every update with a retry button if anything ever needs one.

Every Shopify order becomes a real invoice

An order on your store is not a row in an export file. It is a sale, and it should hit your books like one. The moment an order is placed, E-Khata posts a sales invoice with the exact line prices, per-line discounts, taxes, and delivery charges the customer saw at checkout. The invoice total matches what the customer paid, to the rupee. Prepaid orders arrive marked paid into a Shopify clearing account, and cash-on-delivery orders sit as receivables so your udhar picture always includes the parcels on the road.

  • Orders post in real time, not on a nightly schedule
  • Each order becomes exactly one invoice, even if the connection retries
  • Cancelled and refunded orders are kept out of your books automatically
  • Imported invoices and customers carry a Shopify badge everywhere in the app

Two-way product sync between Shopify and your books

Create a product in E-Khata and it appears on your store with its description, variants, SKUs, barcodes, images, and web price. Add a product on Shopify and it can flow back into E-Khata, so the catalog you count, cost, and report on is always the full catalog. Sizes and colours map to Shopify options, each photo attaches to the right variant, and updates replace the old version instead of creating duplicates.

  • One catalog across the shop counter and the online store
  • Variants, SKUs, barcodes, weights, and images included
  • Edits sync in place, so there are never two copies of one product
  • Deactivated products are archived on the store, preserving old orders

Shopify inventory sync that stops overselling

Selling the last piece in the shop while the website still shows it in stock is how you earn a one-star review. E-Khata pushes stock changes to Shopify as they happen: a counter sale, a purchase receipt, a branch transfer, or a stock correction all update the online quantity within moments. When an online order comes in, the same stock ledger is deducted, so the shop side sees it too.

  • Stock updates flow on every sale, purchase, transfer, and correction
  • Choose exactly which warehouse feeds the online store
  • Multiple warehouses can map to matching Shopify locations by name
  • Quantities never go below zero on the store

Different prices online and at the counter

Web selling has its own arithmetic. Your online price can differ from the shop price, and sale campaigns need the old price shown struck through next to the new one. E-Khata sends a web price for each variant and a compare-at price for discounts, so a Rs 2,400 kurta can sell online at Rs 1,999 with the discount visible, while the counter keeps its own rate. Your margins on each channel stay visible in your reports.

  • Separate web price per variant, independent of the counter rate
  • Struck-through compare-at pricing for online discounts
  • Prices carried exactly, with no rounding drift

Built for how Pakistan actually sells online

Most of Pakistan's online orders are cash on delivery, and most sellers also run a physical counter. The integration is built around that reality. COD orders arrive as receivables so recovery is tracked like any udhar, prepaid orders reconcile through a clearing account, everything is recorded in PKR, and the invoices your store generates live in the same books that handle your FBR Digital Invoicing. When the tax officer asks, online and offline sales are one clean ledger.

  • COD parcels tracked as receivables until the courier pays
  • PKR throughout, formatted the way your accountant expects
  • Online sales sit in the same FBR-ready invoicing flow as counter sales
  • One profit and loss across the shop and the store

See every sync, fix anything in one click

Integrations you cannot see are integrations you cannot trust. Every product in your list carries a sync badge showing whether it is live on the store, still syncing, or needs attention. A sync activity log records every push and pull with its result, and a retry button re-runs any job. If Shopify is briefly unreachable, jobs queue up and retry on their own with increasing patience.

  • Per-product sync status right in the product list
  • A full activity log of every sync, with errors in plain words
  • Automatic retries, plus a manual retry for anything stubborn
  • Sync the whole catalog again any time with one button

Frequently asked questions

No. Shopify records orders and payouts, but it does not keep ledgers, customer balances, stock valuation, or tax records. You still need accounting software, and the integration keeps the two in step so you never type an order twice.
